Specifically, the Associate Director Administrative Services:
- Oversees the activities of the Custodial Department, and supervises the Custodial
Manager.
- Directs and oversees the Front Desk staff, currently comprised of two secretaries, one full-time and one part-time.
- Coordinates outside contractor activities for furniture and carpet replacement and new installation. Inspects the finished product to ensure bid specifications are met, and approves payment.
- Meets regularly with the Utilities Manager for updates on new projects, utility line replacement, work order requests and job assignments.
- Determines fiscal requirements for mechanical and electrical systems, and submits budgetary recommendations.
- Directs and coordinates the Lube & Oil
Shop, including budget development, implementation and analysis; supervises the lube and oil mechanic; studies current work methods with the goal to improve efficiency and customer satisfaction.
Also directs all Human Resources activities within the Facilities Management
Department, including:
- Coordinates job postings, P.D.Q. revisions
- Hires employees at all levels: temporary, emergency, full and part-time
- Sets up and conducts interviews for all Facilities Management
applicants
- Performs reference checks as needed
- Conducts orientation for all new employees; process includes explaining the functions and duties of each department and its personnel
- Handles all complaints and grievances; often serves as the intermediary between employees to resolve personal conflicts
- Assists supervisors and managers with formal employee write-ups; reviews and approves any written reports sent to the New Mexico Tech Human Resources Department
- Maintains files of job descriptions in both soft- and hard-copy formats
- Recommends pay increases and title changes
